CMN Website Manager Role Description

(a.k.a CMN Beekeeper … referencing the honeycomb logo motif symbolising networking per se:)

Preamble

Trial Period: July 1 – June 30, reviewed by CMN state chairs May 2015.

The role of the CMN Beekeeper is be to maintain (M), promote (P) & develop (D) the various areas of the website.

M: Maintenance: Keep basic pages (b) and information on those pages fresh and up to date.

P: Promote and increase usage, activity; and

D: Development of new features to enhance the effectiveness of the website. (See note below regarding funding in this area.)

The CMN beekeeper will have a seat on the CMN National Exec.

Section 1: General Notes & explanations

Maintenance (M):

•  The Beekeeper will report monthly on progress of a project including hours;
•  Basic pages (b) Forms for the submission of input for these basic pages have already been developed.
•  State level moderators will need support, education and encouragement under this section.
•  Education of state level moderators includes providing step by step instructions to help them moderate the posts made in their state areas up to a point;
•  As some Adobe Illustrator graphic work is required for many posts, some moderation will still be the role of the CMN Beekeper who will need related computer software (Adobe Illustrator) and related skills.

Promotion (P):

•  Utilise a CMN MailChimp newsletter to promote each aspect of CMN basic pages.
•  Work to ensure cmn.org.au is the first port of call to see ALL the nation’s networks, events, resource people and positions vacant, referencing back to individuals’ websites as required.
•  Ensuring state level web site moderators are encouraged to promote the various sections.
•  Ensuring content for state level meeting agendas regarding one or more of the basic pages e.g. a question, an invitation, a task, a request for help.
•  Encouraging all CMN member organisations to add a CMN logo and clause to the bottom of all their emails and to their websites.

Development (D):

•  No developmental projects are to be undertaken this financial year.  (See note below regarding funding in this area.)

State Pages (B = Beekeeper responsibility)
M: Moderate state level member’s Logo & details and post;
M: Moderate state level attendee’s photo & details and post;
M: Encourage the appointment of a state cmn web manager where possible;
M: Educate and support the state cmn web managers;
M: Encourage stage cmn web manages to populate their state pages where possible; and
M: Review/develop/add/populate/moderate the state pages if help is required.

Networks (B)
M: Maintain the provision of the form tools to help populate this area;
M: Moderate input from forms and post;
(Moderation includes adding logo as provided by the person making the submission.)
M: Provide input forms on pages required to populate the pages.
M: Add depth (more words, paragraphs, papers) on the sub pages: ‘About us’ ‘Initiatives’ ‘Networking resources’ ‘Australia’
P: Promote using MailChimp newsletter

This is the interactive, conversational. forum side of the CMN website picture. Other areas are more static.
There is no responsibility undertaken for this in this role apart form keeping the links maintained and providing some encouragement.

Section 3: Funding

Maintenance & promotion:

• Keep a time sheet of normal activity estimated to be up to a maximum of 2hrs per month … $1200

• Invoice to be submitted quarterly to 3 CMN’s

Development

No funding for development will be allocated in the trial period i.e. before July 2014

For future reference, any development will proceed with the Beekeeper’s role being:

•  Working with the meeting of national CMN chairs to decide development priorities

And then:
•  make an estimate of time at $50/hr to achieve the project
•  determine if the scope of the project falls within his/her capacities and/or abilities
•  see if funding exists for such an activity project
•  if outsourcing is needed, subcontract and oversee the project
•  recognise that, if capacities/abilities allow, the project probably needs to proceed anyway
•  recognise that time required for such projects will invariably take longer as these things do for a variety of reasons.
•  recognise that extra this overtime will be provided gratis
•  will keep the time spent on a particular project anyway
•  will report monthly on progress of a project including hours
•  where a voluntary service is provided to a CMN user (e.g. online regos), it would be reasonable to note this to the user and invite any or all of: an update of their details on CMN; an inclusion of a CMN promo in their newsletters/emails; a small donation to CMN; a time contribution to explore any particular sponsoring ministry (in this case, the ministry of midst.com.au as per the email footer)

Help for the state level pages State page development is on the basis of individual state contract arrangements with the CMN Beekeeper.

Goal: 

  • To see a regularly updated CMN website, with growing use, that supports and resources ministry with children and their families across Australia.
  • To realise this goal, Phil Day will be contracted on a trial basis until June 2015 as the ‘CMN Beekeeper”, working in partnership with each State CMN, to achieve the KPIs listed below.
  • This future of this role and remuneration will be reassessed at the end of this trial period.
  • Remuneration will be made on the basis of outcomes (output) rather than hours (input). However, a record of hours will be kept so as to provide accurate data for the trial period and for future payment structures.

Key Performance Indicators:

  • Updated and accurate State CMN Attendees’ section (profiles/pics) and
  • Updated and accurate State CMN Members’ section (profiles/logos) by Easter 2015.
  • A minimum number of events, nominated by each state for their state, uploaded to the CMN Events Page by June 15.
  • A minimum number of Positions Vacant advertisements, nominated by each state for their state, uploaded to the CMN Position Vacant Page by June 15
  • The CMN Resource People Page populated with information about at least 7 people in each of the categories by June 15
  • A Resoureces plan developed by June 15 to synchronize cmn, Australia Talks Family and Here2Stay websites
  • An identified, trained and functioning CMN State Web Manager for each state, committed to maintaining the state pages, in place by June 2015
  • Satisfaction of the State CMN Web Managers with the support provided over the trial period.
  • Google Analytics, or similar software, added to the website to monitor number of visitors.
  • An agreed target of unique visitors to the site established at the beginning of the trial period this target met by June 2015.

Trial Period Stages

The following KPIs are to be achieved by the end of the time periods below.

A payment of $400 will be made upon satisfactory completion of each Stage, no later than two weeks after completion.

Stage 1 (28th February 2015)

  • First contact made with state CMN Web Managers
  • CMN Members (profiles/pics) accurately reflecting 2015 membership
  • Target numbers for Events and Positions Vacant from each state to be finalised
  • Feature recording visitor numbers to the site to be in operation

Stage 2 (30th April 2015)

  • An identified, trained and functioning CMN State Web Manager for each state, committed to maintaining the state pages, will be in place before Easter 2015.
  • 50% of the Resource People targets on the CMN Resource People Page uploaded
  • 50% of the Events targets on the CMN Events Page uploaded
  • 50% of the Positions Vacant targets on the CMN Positions Vacant Page uploaded

Stage 3 (15th June 2015)

  • Resource People targets on the CMN Resource People Page reached
  •  A Resources plan developed synchronizing cmn, Australia Talks Family and Here2Stay
  • The nominated target of unique visitors to the site reached
